1. Introduction

Civilarch Group is committed to delivering trustworthy, structured, and transparent consultancy and execution services for construction, architecture, interior design, and turnkey projects. This Cancellation and Refund Policy outlines the rights and obligations related to cancellations and refunds for both clients and Civilarch Group.

By availing of any services from Civilarch Group, customers agree to abide by the terms and conditions set forth herein.

2. Role of Civilarch Group

Civilarch Group acts as a professional service intermediary, connecting clients with qualified contractors, architects, interior designers, and consultants based on location, project type, budget, quality expectations, and timelines. Services are rendered through both digital platforms and on-ground project management.

3. Customer-Initiated Cancellations

If a client decides to cancel their project or services after making a booking or payment, they must send a formal cancellation request from their registered email address to:

The cancellation request must mention:

• Full name of the client

• Project reference number

• Reason(s) for cancellation

Until such formal notice is received and acknowledged, the engagement will remain active and services will be deemed to be continuing.

4. Refund Eligibility & Deductions

Refunds, where applicable, will be processed after deducting service fees for stages already completed or partially completed. These deductions reflect the actual effort, documentation, third-party coordination, and administrative time invested by Civilarch Group.

Note: NDV = Non-Discounted Value, i.e., the total project value before any discounts or offers.

5. Project Document & Data Sharing

In cases where significant progress has been made (such as completed architectural or structural drawings, soil tests, or digital surveys), deliverables will be shared only as per the agreed schedule and only upon full payment of applicable stage-wise fees.

6. Additional Costs & Third-Party Charges

Services like municipal drawings, external consultants, and government liaisoning (e.g., for Pune clients) may incur extra charges and will be billed at actuals. These amounts are non-refundable and will be deducted from any refund due.

7. Contractor Resource Mobilization

If a contractor has mobilized resources, the client will be responsible for additional charges billed by the contractor. These costs are not governed by this policy but may be reviewed by Civilarch Group in case of any dispute. The company’s decision will be final and binding.

8. Refund Timeline

Refunds, if applicable after necessary deductions, will only be processed upon execution of a Settlement and Release Agreement. Funds will be credited to the client’s bank account within 30 business days.
🛑 Cash refunds are strictly not permitted.

9. Payment Shortfall & Interest Penalty

If actual costs incurred exceed the payment made by the client at the time of cancellation, the client shall pay the difference within 30 business days from the date of notification. Interest at 18% per annum shall be charged on delayed payments.

10. Company-Initiated Cancellations

Civilarch Group reserves the right to cancel a project or engagement under the following circumstances:

• Inability to proceed due to regulatory or compliance issues

• Non-cooperation or unavailability of client

• Non-payment of dues within stipulated deadlines

• Unavailability of appropriate contractors or site conditions

• Force Majeure or uncontrollable external events

In such cases:

• Clients will be informed in writing via email at least 7 working days in advance.

• Refunds, if applicable, will be processed after deduction of charges for services already rendered.

• A final reconciliation statement will be shared.

• The decision of Civilarch Group regarding company-initiated cancellations shall be final and binding.

11. Policy Amendments

This Cancellation and Refund Policy may be amended periodically to align with company practices, market conditions, or legal requirements. Any major updates will be notified through email or official website announcements.

12. Governing Law & Jurisdiction

This Policy is governed by the laws of India, and any disputes will be subject to the exclusive jurisdiction of the courts in Varanasi, Uttar Pradesh.
